FAQ for Exhibitors Credit Expo Belgium

When and Where Will Credit Expo Belgium 2027 Take Place?
Credit Expo Belgium will take place on Thursday, 18 March 2027 at De Montil Conference Centre, Moortelstraat 8, 1790 Affligem (Essene), Belgium. The event will be open from 9:00 a.m. until 6:00 p.m. Exhibitors will have access to the venue from 8:00 a.m. to complete the setup of their stands. All stands must be fully operational by 9:00 a.m.

What Types of Companies Is Credit Expo Intended For?
Credit Expo is intended for suppliers of products and services in credit management, order-to-cash and related financial and business services. These include companies active in credit information, accounts receivable management, debt collection, billing, payment solutions, e-invoicing, insurance, financial software, data, analytics, AI, consultancy, legal services, outsourcing, training and recruitment. The Organiser will assess whether a prospective exhibitor’s offering is sufficiently aligned with the target audience and positioning of the event.

Which Visitors Will I Meet at Credit Expo?
Credit Expo brings together approximately 350 credit professionals and financial decision-makers from Flanders and Brussels. Visitors include: Credit managers, Credit controllers, Accounts receivable professionals, Order-to-cash managers, Finance managers and CFOs, Treasury and risk professionals, Other policymakers and end users involved in financial processes. The 2026 edition welcomed a total of 380 attendees.

How Many Exhibitors Can Participate?
The number of exhibitors is deliberately limited to approximately 30 companies. This keeps the range of products and services manageable and ensures that every exhibitor has ample opportunity to engage with visitors. Available places are allocated on a first-come, first-served basis.

Which Participation Packages Are Available?
Exhibitors can choose from three participation packages:
Platinum: €12,500 excluding VAT
Gold: €8,500 excluding VAT
Silver: €5,500 excluding VAT
The packages differ in terms of visibility, stand facilities, communication opportunities and participation in the conference programme. Full details of each package are provided on the registration page.

Is an Exhibition Stand Included in the Participation Package?
Yes. Every exhibitor receives a ready-to-use stand in the central networking area. This means that you do not need to design, build or hire a complete exhibition stand yourself. The exact equipment and facilities provided depend on the selected participation package. Examples of stands from the previous edition can be viewed on the website.

May I Add My Own Materials to the Stand?
Yes. You may place your own freestanding marketing materials within the allocated stand area, such as: roll-up banner, beach flag, brochure holder, laptop or display screen, bBrochures, promotional items and other marketing materials. Large back walls, folding displays, stand structures or other substantial elements are permitted only with the Organiser’s prior written consent. Materials may not be attached to floors, walls, ceilings, stand panels or furniture without permission.

May I Choose My Own Stand Location?
The Organiser determines the final layout and location of the stands. You may indicate a preferred location, which will be taken into account wherever possible. However, a particular stand location cannot be guaranteed. The current floor plan of the networking area will be published on the website.

Can I Host a Seminar as an Exhibitor?
Yes. Exhibitors selecting the Gold package or higher may include their own seminar or presentation in the conference programme. The content must relate to credit management, order-to-cash or a related financial topic and must offer genuine added value to visitors. Purely commercial product presentations are discouraged, as they generally attract little interest from visitors. The Organiser may edit titles and descriptions to ensure that they are better aligned with the conference programme and Credit Expo’s communications.

How Long Does a Seminar Last?
The Organiser will determine and communicate the exact duration, time and room in good time. The schedule may be adjusted where necessary to create a balanced conference programme. The Organiser does not guarantee a minimum number of attendees for any seminar.

What Information Must I Provide for My Seminar?
Exhibitors hosting a seminar will receive a deadline for providing the following information, among other items: the seminar title, a brief description of its content, the speaker’s name and job title, a professional portrait photograph, any required company or presentation details. The Exhibitor and the speaker are responsible for the accuracy of the content and for obtaining the necessary rights to use any texts, images, videos, music or other materials.

Can I Invite My Customers and Prospects?
Yes, absolutely. As an exhibitor, you will receive a personal registration link that you can use to invite customers and prospects. Free admission is exclusively available to professionals involved, within their own organisation, in credit management, order-to-cash or related processes as policymakers, purchasers or end users. Suppliers, consultants and commercial service providers that themselves target credit managers are, in principle, not part of the target audience for free admission.

Is Catering Included?
Yes. Complimentary catering will be available in the central networking area throughout Credit Expo. Visitors and exhibitors can enjoy food and drinks throughout the day, including a sandwich lunch. The catering breaks are deliberately integrated into the programme to provide ample time for conversations between exhibitors and visitors.

Is Parking Free?
Yes. De Montil has ample private parking facilities. Parking is free throughout the day for exhibitors and visitors. A separate car park is available for exhibitors directly adjacent to the Hercules room, where the exhibition stands are located. The venue is close to the Brussels–Ostend E40 motorway exit, making it easily accessible from Flanders and Brussels.

Do Exhibitors Receive the Full Visitor List?
No. Credit Expo does not sell or distribute its complete visitor database. Exhibitors can collect leads when visitors voluntarily allow their badges to be scanned. The Exhibitor will receive only the details of visitors with whom contact has been established through this method. From the moment these data are received, the Exhibitor is responsible for processing them correctly and in accordance with applicable data protection legislation. A badge scan does not automatically constitute consent to contact the visitor for any conceivable marketing purpose. The Organiser does publish a selection of registered visitors on the website, including their company names and job titles.

May We Distribute Promotional Materials?
Yes, but only from your own stand. Actively distributing brochures or promotional items in the aisles, catering areas, conference rooms or at other stands is not permitted. Promotional activities, competitions, demonstrations, amplified sound or other special activities must be agreed with the Organiser in advance.

May We Take Photographs and Videos During the Event?
Yes, provided that visitors and other exhibitors are not inconvenienced and that their privacy and image rights are respected. Presentations, confidential information or other exhibitors’ stands may not be filmed as the main subject without permission.
Recording or livestreaming a seminar requires the Organiser’s prior written consent. Photographs and video recordings will also be made by or on behalf of the Organiser during Credit Expo for editorial and promotional purposes.

Can My Company Enter the Innovation Award?
Yes. Partners of Credit Expo Belgium 2027 may enter an innovative case, application or solution in the field of credit management for the IvKM Credit Management Innovation Award. The judging and Award ceremony will take place during Credit Expo.

How Do I Register My Company as an Exhibitor?
You can register your company using the online exhibitor registration form. On the form, you select your preferred participation package and provide your company, contact and invoicing details. You must also accept the Terms and Conditions of Participation and sign the registration digitally. The registration becomes binding as soon as the Organiser confirms your participation by email.

When Will the Participation Fee Be Invoiced?
The participation fee will be invoiced in full following confirmation. The payment term is 30 days from the invoice date. For registrations made within 30 days before the event, the full amount is payable immediately. In all cases, the full invoice amount must be received no later than two calendar days before the event.

Can I Cancel My Participation?
A cancellation must always be communicated in writing or by email. The following cancellation fees apply:
More than six months before the event: 25% of the participation fee
From six months up to and including three months before the event: 50% of the participation fee
Less than three months before the event: 100% of the participation fee
The full cancellation policy is set out in the Terms and Conditions of Participation for Exhibitors.

Can I Transfer My Participation to Another Company?
Not without the Organiser’s prior written consent. Any replacement company must meet Credit Expo’s exhibitor profile. Sharing a stand with another company is also permitted only with prior consent.

Must My Stand Remain Staffed Throughout the Day?
Yes. The stand must remain fully set up and adequately staffed throughout the event’s opening hours. Dismantling the stand or removing materials before the event closes is not permitted without prior consent. After the event, the Exhibitor must remove its own materials within the specified dismantling period.

Do I Need to Register My Stand Staff in Advance?
Yes. All stand staff must be registered in good time. They will receive personal admission badges, which may not be transferred to another person. Practical information concerning the registration and admission of stand staff will be provided to exhibitors before the event.

Is Insurance Compulsory?
The Exhibitor must maintain appropriate business and public liability insurance. The Organiser may require the Exhibitor to provide valid proof of insurance. The Exhibitor remains responsible for the supervision, security and insurance of laptops, screens, promotional materials and other property.
